Team Availability
How Team › Availability shows who is working and who is off each day, and where to book time off, answer requests and change working days.
Team › Availability shows who's working and who's off, day by day, for everyone in your business. Open it from Work › Team, on the Availability tab; the Today tab beside it shows how everyone's day is going (see Team Today). It's for businesses with a team, so on a plan for one person the page says so instead.
What You See
- Week or 4 weeks: Switch between one week and four. The arrows move back and forward by that much, and Today brings you back to this week.
- A row for each person: Under each name are the days they usually work, such as Mon–Thu. See Team Member Working Days.
- Each day: Working, Not working (shaded, a day they don't usually work), a bank holiday, or their time off: Holiday, Sick or Other. Half days say morning or afternoon. Time off still waiting for approval has a dashed border and says (asked).
- Bank holidays: When your business keeps bank holidays, the day's heading names them. See Bank Holidays.
- More than one business: People are grouped by business, and the business filter narrows it to one.
- On a phone: A list of days takes the place of the grid, each saying who's off.
What You Can Do
- Book time off: If you manage time off, this opens the popup to book it for anyone. It's approved straight away. Clicking an empty day in someone's row opens it ready for them and that day. See Booking and Requesting Time Off.
- Request time off: Everyone else asks for their own time off here, and whoever manages time off decides.
- Waiting for approval: If you manage time off, requests waiting for you are listed above the grid with Approve and Decline. See Time Off Requests.
- Open time off: Click any time off to see its details and what you can do with it.
- Change working days: If you manage time off, the button beside each name sets the days that person works.
Who Sees What
Anyone whose role includes View Team Availability sees the grid: owners, admins and members, to begin with. Workers don't, but they see and ask for their own time off in My Profile › My time off. Managing time off (booking it for others, answering requests and changing working days) comes with Manage Time Off and Working Days, which owners and admins have. See Editing a Role.
Sick and other time off is often private, so only the person and whoever manages time off see what it was. Everyone else sees Off. Notes are only ever shown to the person and to managers.
When Someone Else Makes a Change
The screen keeps itself up to date. When someone books, asks for, approves or cancels time off, or changes working days, it shows within a few seconds without you reloading.
