Booking and Requesting Time Off
The time off popup field by field: who it's for, the type, the dates and half days, and what happens when it's saved.
The time off popup opens from Book time off or Request time off on Team Availability, from an empty day in the grid, and from Request time off in My Profile › My time off. If you manage time off you book it for anyone; everyone else asks for their own.
The Fields
- Person: Shown when you're booking for someone else. It lists the people in the businesses where you manage time off.
- Businesses: Shown when the person works for more than one of your businesses. Each one ticked gets its own booking, so each business decides on its own.
- Type: Holiday, Sick or Other. Only the person and whoever manages time off see which it is; everyone else sees Off.
- From and To: The first and last days off. One booking can cover up to a year.
- Half days: For a single day, choose Whole day, Morning only or Afternoon only. For longer, the first day can be Afternoon only and the last day Morning only.
- Note: Anything worth saying, such as a wedding or an appointment. Only the person and people who manage time off can see it.
What Happens When You Save
- Booked by someone who manages time off: It's approved straight away, and the person is told if it's for someone else.
- Asked for by anyone else: It waits for a decision. Whoever manages time off is told by notification and sees it in the bell. See Time Off Requests.
- Off sick: Reporting yourself sick doesn't need approval. It's booked straight away and whoever manages time off is told.
- Overlaps: Someone can't have two lots of time off over the same day, or the same half day. The popup says which time off is in the way.
- How far back: You can ask for time off starting up to 30 days ago. Whoever manages time off can book it up to a year back.
Changing or Cancelling It
Click the time off to open its details. Edit opens this popup again: managers can change any time off still in force, and you can change your own request until it's decided. Cancel time off takes it away: you can cancel your own requests, and your approved time off until it starts (whoever manages time off is told), and managers can cancel any of it.
Once time off is approved it shows on the planner, and giving that person work on those days shows a warning. See Planner Screen.
