Inviting a Team Member
How to use the Invite User popup, choose business access, pick roles per business, and understand invitation checks before sending.
Click Invite User on the Team screen to open the invite popup. This popup lets you give one person access to one business or several businesses in the same send.
Fields In The Popup
- Email Address: the email the invitation is sent to. Work Planner uses this as the identity of the invitation, so it needs to be the address the teammate will actually use.
- Business Access checkboxes: choose every business this teammate should be able to work in.
- Role dropdown per business: once a business is selected, choose the role they should have in that business. The choices come from the role list available for that business.
- Selected business count: the line under the list confirms how many businesses are currently included before you send.
Checks Work Planner Makes Before Sending
- At least one business: you cannot send the invitation until at least one business is selected.
- Valid role per business: each selected business must have a valid role chosen for it.
- No duplicate active invitation: Work Planner blocks sending if a live invitation already exists for the same email and one of the selected businesses.
- No existing membership: if the person already belongs to one of the selected businesses, Work Planner blocks the invite instead of sending a duplicate.
Invitations currently expire after seven days. After you send one, it appears in the pending invitations section so you can see the invited email, the businesses attached to it, and when it will expire.
When The Upgrade Prompt Appears
If your plan has reached its user limit, clicking Invite User can show an upgrade prompt instead of the normal popup. That is a plan limit check, not a form error.
