Quotes List

How to search, filter, open, and create quotes from the Quotes list.

The Quotes list is the quickest way to see what still needs pricing, what has already been sent out, and which quotes have moved on into confirmed work. It is also the main jumping-off point for quote detail, submission, and confirmation.

Search and Summary

  • Search quotes: Search looks through the reference, customer name, company, email address, phone number, and mobile number, so you do not need the exact quote number to find the right record.
  • Quote Summary: Open the summary panel in the table header when you want a fast count of how many quotes are sitting in Received, Pending, Sent, Confirmed, or Declined.
  • Badge count: The header badge updates with the current filtered total, which helps when you are narrowing the list down before a follow-up call or pricing session.

Filters

  • Status: Use this when you only want one stage of quote work, such as all pending quotes that still need pricing or all sent quotes waiting for a decision.
  • Source: Filters by the saved customer source so you can separate website enquiries, referrals, leaflet drops, and any other source list you use.
  • Business: In multi-business setups this keeps the list tied to one or more selected businesses instead of mixing everything together.
  • Clear Filters: Use this to get back to the full working list without manually resetting every filter field.

Useful Signals in the Table

  • Reference: If a quote has no manual reference yet, Work Planner falls back to a label such as Quote #123 so the row is still easy to recognise.
  • Image icon: A small image icon beside the reference means files are already attached to the quote. The image rules and preview behaviour are covered in Quote Images.
  • Customer: The row shows the company name first when there is one. Otherwise it builds the customer name from the title, first name, and last name.
  • Services: Service badges give you a quick read on what the quote covers before you open it.
  • Status, Due Date, and Created: These columns tell you where the quote is in the process, when it is expected, and how old it is.

Opening and Creating Quotes

  • New Quote: Opens the quote popup so you can create a new manual quote without leaving the list. The field-by-field guide is in Creating a Quote.
  • Click a row: Opens the quote detail view in read-only mode first, which is useful when you want to inspect the quote before deciding whether to edit, send, confirm, or decline it. That next screen is covered in Quote Detail View.
  • After closing a quote: The list refreshes so status changes, due dates, and newly attached images show correctly straight away.
