SMS Settings

How SMS Settings works, when to use Work Planner SMS versus your own provider account, and what each field controls.

Work Planner TeamApril 12, 2026

Open Settings > SMS when you need to decide whether messages go out through Work Planner or through your own SMS account. If you manage more than one business, start by picking the right business at the top because everything on this page is saved against that one business only.

Choose the Business First

  • Business: The selector appears when your login can manage settings for more than one business.
  • Scope: SMS settings on this page apply only to the business currently selected in that drop-down.
  • Switching business: When you change the selected business, Work Planner reloads the saved SMS settings for that business instead of carrying values across.

SMS Configuration

  • Use Work Planner's SMS service: Turn this on if you want Work Planner to send through the platform SMS setup. When this is on, the custom-provider fields stay hidden because you do not need to enter your own credentials.
  • Turning it off: This reveals the custom-provider section so you can send through your own provider account instead.
  • Save Changes: Commits the choice for the selected business.

Custom Provider Fields

  • SMS Provider: Chooses which provider account Work Planner should use when you are not using the platform SMS service. At the moment, the live option here is MSG91.
  • Sender ID: This is the sender name or sending number that should appear on outgoing messages. For the current MSG91 option, use your approved sender ID.
  • API Key: This connects Work Planner to your provider account. If the field reloads as masked dots, that means a key is already saved. Leave the masked value alone if you want to keep the existing key, or type a fresh value only when you are replacing it.
  • API Secret: This field only appears for providers that need an extra secret. You will not normally see it for the current MSG91 option.

After You Save

  • Masked credentials: Saved secrets come back masked when the page reloads. That is normal and does not mean they were cleared.
  • Switching back to platform SMS: If you return to Work Planner's SMS service and save, the custom provider details are cleared for that business.
  • Plan checks still apply: Sending later still depends on the business having SMS access and available credits, even if you have chosen to use your own provider account.

What This Affects Elsewhere

The settings on this page feed the SMS actions used across customer communication, debt chasing, worksheet communication, and job communication. They do not decide who receives a message; those later screens still use the customer and job phone data selected at send time.
