Editing a Quote
How quote editing works, including status limits, service changes, schedule changes, and image management.
Editing a quote uses the same tabbed popup as creation, with sections for Basic Information, Services, Customer Information, Address, Contact Information, and Images. The reason for opening it is usually to change the services, correct customer details, update the due date, or tidy up the images before the quote is sent or confirmed.
When Edit Is Available
- Editable statuses: Quotes can still be edited while they are in Received, Pending, or Sent.
- When edit disappears: Once a quote is confirmed or declined, Work Planner stops treating it as an open quote and the edit action is removed.
What You Can Change
- Reference and Customer Source: Use these when the quote needs a cleaner internal reference or when the original source was missed during creation.
- Due Date: This now sits with the Basic Information fields instead of in its own tab, so you can adjust the main planner date earlier in the popup.
- Services: Adding or removing services immediately changes the service pricing rows below. This is often the most important part of quote editing because it changes what will later be sent and confirmed.
- Customer details and contact details: These fields feed straight through into the customer record created or matched during confirmation, so it is worth correcting them before the quote is accepted.
- Address fields: Address Line 1 still has to stay filled in when you save. The confirmed jobs will use the saved quote address.
- Contact methods: The quote must still have at least one of phone, mobile, or email before the save will go through.
- Scheduling fields: These still sit beneath the due date when scheduling is switched on, and changing them affects what recurrence information transfers into the jobs created from the quote.
Existing Images
- Existing Images section: When the quote already has images, they appear in their own block above the upload area.
- Click an image: Opens the image viewer popup so you can check the full picture before deciding whether to keep it.
- Delete button: Use the bin button on an image thumbnail when the file is no longer relevant. Deleting it here removes it from the quote completely.
- Add New Images: The upload area stays available in edit mode, so you can keep attaching more images without replacing the existing ones.
What Changes After Save
- Service pricing stays in step: The quote detail view, the send popup, and the confirmation flow all use the updated service pricing data.
- Planner information updates: If you changed the due date or recurrence pattern, the quote uses the new dates from that point on.
- Job creation uses the latest version: When the quote is confirmed, Work Planner creates customer and job records from the updated quote, not from the original draft.
