Confirming a Quote
How quote confirmation works, including customer creation or matching, job creation, status changes, and linked records.
Confirming a quote is the step that turns the quote into real operational records. From this point on, the quote is no longer just an estimate.
Before You Can Confirm
- Sent status only: A quote must already be in Sent status before it can be confirmed.
- Where confirmation starts: You can confirm from the quote detail view, the dedicated confirm page, or the quick-process popup where that workflow is available.
What Confirmation Does
- Find or create a customer: Work Planner first looks for an existing customer in the same business with the same first name, last name, and email address. If it does not find one, it creates a new customer from the quote details.
- Create job records: The quote services and pricing are converted into one or more jobs depending on the confirmation choice used.
- Copy quote images: Any images attached to the quote are copied across to the created jobs.
- Link the records: The quote is updated with the linked customer and the created jobs keep a back-link to the quote.
- Change the quote status: The quote moves to Confirmed and Work Planner records the confirmed date.
Things That Can Stop Confirmation
- Wrong status: Received, pending, confirmed, or declined quotes cannot be confirmed.
- Hourly-per-person combined confirmation: Quotes with hourly-per-person services cannot be confirmed as one combined job.
- Plan limits: If confirming the quote would create more jobs than the current plan allows, Work Planner blocks the confirmation step.
What You See Afterwards
- Confirmed Date: The quote detail view shows when the quote was confirmed.
- Related Jobs: The detail view shows buttons or tabs for the jobs created from the quote.
- Customer tab: Once the quote is tied to a customer, the detail view can open the linked customer information directly.
