Print, Email, and SMS Actions
How the Jobs area handles document printing, email, and SMS for selected jobs, including template selection, previews, recipient checks, and SMS credits.
These actions all start from the Jobs list after you select one or more jobs. Open More Actions and choose Send Email, Send SMS, or Send/Print Documents depending on what you need to send out.
Send/Print Documents
- Select Document Template: Pick the template that matches the type of document you want to send or print.
- Template description: The popup shows the template description underneath so you can sense-check you have chosen the right document.
- Service Date: This appears for service delivered slips. Use it when the document needs a specific service date printed onto it.
- Available actions: The buttons shown at the bottom depend on what that template supports. Some templates can print only, some can email, and some can also be used for text sending.
Send Email
- From: Work Planner loads the sending address automatically so you can see which mailbox the message is coming from.
- Recipients: You can send to saved customer email addresses from the selected jobs, or type a manual address when needed.
- Subject: This is required before previewing or sending.
- Message: Use this for the email body. Merge fields are available so common customer and job values can be dropped into the message.
- Preview: Preview is useful when different customers may receive slightly different personalised output or when you need to check the attached document before sending.
Send SMS
- Recipients: SMS can use the mobile numbers stored against the selected jobs and customers, or you can type a manual phone number.
- Phone validation: Work Planner checks which selected records have valid phone numbers and leaves out the ones that do not.
- Message length: The popup shows character count and how many SMS parts the message will use, so you can see when a long message is starting to split.
- Credits and access: If your plan does not include SMS or there are not enough credits left, the popup shows that before sending and does not let the message go through.
Practical Tips
- Filter first: It is easier to send the right communication when the Jobs list has already been narrowed to the exact selection you mean to contact.
- Check the selection count: The document popup shows how many items are selected. That is a good last sanity check before you print or send anything.
- Use template descriptions: They are especially helpful when several templates have similar names.
