Missed Reason on a Job
How to record why a job was missed using the preset reasons or a free text note, and where that reason then shows up.
When a job is marked as missed, Work Planner now lets you record why. The reason flows through to the missed-jobs dashboard widgets so you can see patterns across customers, services, and team members, and so reports can split out the categories that matter for your business.
Where the Reason Field Appears
- Completion popup: When you change the status to Missed in the completion popup, a Reason field and an optional note field appear.
- Worksheet item card: Toggling a worksheet item to Missed on the worksheet detail screen exposes the same reason and note inputs without needing to open the full completion popup.
The Preset Reasons
- Customer not home: Use this when you arrived but the customer was not there.
- No access: Use this when something physical stopped the visit, such as a locked gate, blocked access, or no key.
- Weather: Use this when the work could not be done safely or properly because of weather.
- Customer cancelled: Use this when the customer called in and cancelled before or on the day.
- Equipment issue: Use this when a tool failed or the right kit was not available.
- Other: Use this when none of the preset categories fit. Selecting Other reveals a free text note so you can describe the situation.
How the Reason Behaves
- Optional: The reason is not required to save a missed status, but adding one makes the dashboard breakdowns more useful.
- Clearable: Switching to a different reason replaces the previous selection. Switching away from Other hides the note field, and the note is cleared on save.
- Status switch: Moving the status back to Complete or unsetting it will not retain the missed reason on the next save, since the job is no longer missed.
Where the Reason Then Shows Up
- Missed-jobs widgets: The Missed Jobs by Reason widget breaks the recorded reasons down for the period selected on the Dashboard.
- Other widgets: The reason is stored alongside each missed entry, so the rest of the missed-jobs widget set (by team member, by service, top missed jobs, missed revenue trend) all draw from the same data.
- No reason given: Missed jobs without a recorded reason are grouped under No reason given in the reason breakdown.
