Print, Email, and SMS Actions

How to distribute documents for selected debt rows, including template choice, service date handling, printing, email, and text.

Work Planner TeamApril 12, 2026

Select one or more debt rows and use Send/Print Documents when you need to distribute paperwork for those jobs. This route works from the selected debt rows, but the documents are still generated from the linked job and customer data underneath.

Start From the Selected Rows

  • Checkboxes: Tick the debt rows you want to work with first.
  • Header button: Send/Print Documents only appears once at least one row has been selected.
  • Selection count: The popup tells you how many items are currently included before you choose a template.

Distribute Documents Popup

  • Select Document Template: Choose the template you want to use for the selected debts.
  • Template description: Work Planner shows the saved template description underneath so you can check you have the right one before sending.
  • No templates available: If none of your current templates match the selected items, the popup tells you that clearly instead of offering a broken send route.
  • Service Date: This extra date field only appears for Service Delivered Slips templates, because that date is printed into the document itself.

Print, Email, and Text

  • Print: Generates the PDF immediately so you can print or save it.
  • Email: Opens the shared email popup with the selected jobs and template already carried in.
  • Text: Opens the shared SMS popup with the same selection and template. SMS still depends on mobile numbers, plan access, and available SMS credits.

What This Flow Does Not Do

This popup only distributes documents. It does not take payment, create a GoCardless request, or clear the debt balance on its own. Use it when the customer needs paperwork, not when the next step is collecting money.
