Printing the Debt List

How to print the debts list to take out collecting, with a box to tick when a customer pays in full or in part and room to write the amount.

Work Planner Team20 October 2026

Print Debt List, at the top of Accounts > Debts, puts the list on paper so you can take it round while you collect. Each debt gets a box to tick when the customer pays in full or in part, and room to write down how much they gave you.

Which Debts Are Printed

  • Search and filters: The sheet follows the search box and the visibility and business filters, so narrow the list first if you only want part of it. The line under the heading says which debts it holds, such as Current debts or Current debts matching "Smith".
  • Every page: All the matching debts are printed, not just the page of the table on screen.
  • Order: Debts print in the order the table is sorted, so sort it first, such as by Age to start with the oldest or by Customer to find names quickly.
  • Ticked rows: The row checkboxes are for Message Customers and Print Documents. The debt list ignores them and prints the whole list.

What Is on the Sheet

  • Heading: Your business name, which debts these are, the date it was printed, how many debts there are and the total owed.
  • Customer: The company name, or the customer's name, with the service underneath. One customer can appear more than once when several of their jobs are owed for.
  • Address: The job's address, which is the customer's address unless the job has one of its own.
  • Owed: What is still owed on that job.
  • Paid and Part paid: Tick one when the customer pays all of it or some of it.
  • Amount: Space to write down what you were given.
  • Total: The total owed, at the bottom, with space beside it to add up what you collected.
  • Page footer: Every page shows the date it was printed and its page number, such as Page 2 of 5, so loose pages go back in order.

Opening and Printing It

In a browser the list opens as a PDF in a new tab, ready to print or save. In the Work Planner app it opens on your phone, where you can print or share it. A long list can take a few seconds to make.

Who Can Print It

Anyone whose role can see debts and print documents. With several businesses selected, the sheet only includes debts from the businesses where your role can print documents.

After You Have Collected

Ticking the sheet does not change anything in Work Planner. When you are back, use Pay on each debt to record what the customer paid, so the balance, transactions and any linked invoice are brought up to date. See Taking a Payment.

  • Debts List: What each column on the screen means, before you print it.
  • Debts Filters: The search, visibility and business filters that decide which debts are printed.
  • Taking a Payment: Recording what you collected once you are back.
  • Message and Print Actions: Messaging customers or printing documents for the debts you select.
