Turning On Team Location Sharing
How an owner or admin turns on location sharing for a business, what each person is asked, what the team's map then shows, and what turning it off deletes.
Location sharing lets you see where your team is during the working day, on the map on Team › Today. It's off until someone who can change the business's settings turns it on, and then each person chooses whether to share.
Turning It On
- Where: On Work › Team › Today, choose Location sharing. You need a role that can change the business's settings, and more than one person in the business.
- Before you do: Tell your team why you're turning it on and how you'll use it. In many places, including the UK and Ireland, you need a good reason to track staff, and you should tell them first.
- Then: Each person is asked in the Work Planner app, the next time they open their worksheets. Nobody's location is shared until they say yes.
What's Shared, and When
- Only from the phone app: Locations come from the Work Planner app for iPhone and Android while it's open, never from a web browser. A locked phone or a closed app sends nothing. On an iPhone, it needs version 2.1 of the app or later.
- Only while they're working: On a day they have work, from an hour before your working hours start to two hours after they end, until their last job is marked. Never on a day they're off.
- At each job: The phone also sends where it is when they mark a job done or missed.
- Who sees it: Anyone whose role includes View the Team's Day and Locations, which owners and admins have. The Worker role can never see anyone's location.
On Team › Today
Each person who shares gets a marker on the map in their colour, with the route they've taken today, and their card says when they were last seen, such as Live · seen 10:28. A marker turns grey when it's more than 15 minutes old. People who haven't said yes show as Not asked yet or Not sharing.
How Long Locations Are Kept
Locations are deleted after 7 days. Someone's locations are deleted straight away when they stop sharing or leave your team, and all of the business's locations are deleted when you turn sharing off or reset the business's data.
Turning It Off
Choose Location sharing again and turn it off. Nobody's location is shared from then on, every location kept for the business is deleted, and everyone is asked again if you turn it back on.
