Adding Jobs to a Collection Sheet
Putting the jobs owing on a collection sheet from Who owes you, a customer, or the Jobs and Customers lists with their Owes filter, and what the Add to Collection Sheet popup does with jobs that are already on one or owe nothing.
A collection sheet is filled from the places you already look at what's owed. Each of them opens the same Add to Collection Sheet popup, and only the jobs that owe something go on.
From Who Owes You
In Accounts > Who owes you, tick the customers to call on and open More Actions > Add to Collection Sheet. Every job they owe on goes on the sheet. With the oldest debts at the top and the age boxes above the list, it's the quickest way to put together a round of the people who've owed longest.
From a Customer
Add to Collection Sheet is in the side bar of a customer's Details tab, under Statement, when they owe you something. On a phone it's one of the round buttons under their name. It adds every job they owe on. It isn't there for a customer who has been transferred to another business, or when your role can't see prices and balances. See Customer Detail View.
From the Jobs and Customers Lists
Tick the rows and open More Actions > Add to Collection Sheet. On the Jobs list it adds the jobs you ticked; on the Customers list, every job the customers you ticked owe on.
Both lists have an Owes filter, so you can put a round together from the lists you already plan with, such as everyone on one round who owes more than £50:
- Owes money: Tick it in the list's Filters to show only the jobs, or customers, that owe something.
- More than: Appears once Owes money is ticked. Leave it empty for anything owed, or type an amount to show only those owing more than it. The chip beside the search says Owes: Anything or, for example, Owes: More than £50.00.
- What counts: On the Jobs list it's what each job owes. On the Customers list it's the customer's balance, across all their jobs.
- Prices hidden: The filter isn't there when your role can't see prices and balances.
Use it with the lists' other filters, such as Round, then tick everything and add it.
The Add to Collection Sheet Popup
Under its title, the popup says how many of the jobs owe and will go on, such as 4 jobs owing, and what happens to the rest:
- Already on another collection sheet: A job is on one open sheet at a time, so it stays where it is. The popup says how many, such as 1 job already on another collection sheet stays there.
- Not owing: A job that owes nothing is left off.
- Nothing to add: When none of them can go on, the popup says why: they're all on collection sheets already, or none of them owe anything.
Then choose where they go:
- Select Existing: Pick one of the open sheets. Search Collection Sheets finds one by name, and each shows who has it and when it was made. It's chosen first when there are open sheets you can add to.
- Create New: Makes a sheet as you add to it. Collection Sheet Name starts as Collection and today's date, such as Collection 2 Nov, and Assigned Team Member chooses who'll do the calls, if your role can assign sheets.
- Business: A sheet holds one business's jobs. When the jobs you ticked are in more than one business, the popup says so: only those in the chosen sheet's business go on, and the others can go on a sheet of their own business.
Add to Collection Sheet (Add on a phone) adds them. A message says how many went on, with View sheet to open it. A customer's jobs at the same door join one stop, even when they were added at different times.
Where New Jobs Go
When the sheet is in an order such as Round Name or Amount Owed, it's put back in that order with the new jobs in their places. When you've put it in your own order, with Manual, they go at the end, for you to move. See The Collection Sheet Page.
Seeing Which Sheet a Job Is On
A job on an open collection sheet shows On and the sheet's name, such as On Collection 2 Nov, beside it in Who owes you, on the Debts list and on the job itself. Click it to open the sheet. When it's on someone else's sheet and you only see your own, it's named but doesn't open.
Who Can Add Jobs
Adding to an existing sheet needs Update, under Collection sheets on the Roles screen, and making one as you go needs Create. Add to Collection Sheet is left out for anyone with neither. See Editing a Role.
