Vehicle Reminders
When Work Planner reminds you about a vehicle's MOT, road tax, insurance, service and breakdown cover, who is told, and what clears a reminder.
Every key date you give a vehicle comes with reminders, so an MOT or an insurance renewal doesn't creep up on you. The dates go on the vehicle's Key Dates tab in the vehicle popup: its MOT, road tax, insurance, service and breakdown cover.
When You're Reminded
- A month before: Such as MOT due in 30 days.
- A week before: Such as Road tax due in 7 days.
- The day before: Such as Insurance due tomorrow.
- On the day: Such as Service due today.
- Once it's overdue: Such as MOT overdue, the day after it was due.
Each reminder goes once, at 8am. A date added less than a month away starts at the reminder it has reached, such as MOT due in 12 days, so you aren't sent ones for days already gone. Each reminder says which vehicle and when, such as Van 2 (AB12 CDE): due Friday 23 October, and takes the place of the one before it for that date, so the bell only ever says how things stand now.
Who's Told
Everyone in the business whose role can see vehicles, which owners, admins and members can to start with. Each reminder goes in their notifications bell, and to their phone or browser if they've turned notifications on there. If someone's quiet hours run past 8am, nothing comes through on their phone, but the reminder is waiting in the bell. Sold vehicles aren't reminded about.
In the Bell
Reminders are listed under Vehicles in the notifications bell, labelled Key date, with how many there are. Click one to open the vehicle at its Key Dates tab, where you can put in the new date. Tapping the notification on your phone does the same. Dismiss clears it from your bell without affecting anyone else, and Dismiss all clears every vehicle item waiting for you. See Unread Replies Badge.
What Clears a Reminder
- Renewing it: Put the new date in on the vehicle's Key Dates tab, and the old date's reminders leave everyone's bell straight away. The new date is reminded about in its turn.
- Selling the vehicle: A sold vehicle gets no reminders, and everything the bell said about it goes.
- Taking the date off: A date that's cleared on the vehicle isn't reminded about any more.
- Leaving it: Anything still in the bell drops out after a month. An overdue date stays on the Dashboard's Vehicle Dates widget and the Vehicles overview until it's renewed.
The Notification Setting
Vehicle reminders come under Vehicles in your notification settings, along with problems found on daily checks and changes to a vehicle's MOT. Turning it off stops the notifications and takes these out of your bell. It only changes what you're told: everyone else is still reminded.
On the Dashboard
The Vehicle Dates Widget lists the dates that are overdue or due within 30 days, so you can see what needs renewing without waiting for a reminder. The overview on Work > Vehicles shows the same, with each vehicle's dates over the coming year.
Tax and MOT Changes
Overnight, Work Planner checks the MOT of each vehicle in use that has a registration with the DVSA: every night while its MOT is due within 45 days or something's wrong, and once a week otherwise. When the DVSA's answer changes for the worse, everyone whose role can see vehicles is told, labelled Tax and MOT in the bell:
- No valid MOT: Such as Van 2 (AB12 CDE): its MOT ran out on Tuesday 20 October.
- Failed its MOT: A test failed in the last 30 days.
- Safety recall outstanding: The DVSA says the vehicle has a safety recall that hasn't been done.
Clicking one opens the vehicle's Details tab. Each is told once, and leaves the bell by itself when it's put right, such as when the MOT is valid again or a pass follows the failed test. A new MOT date found overnight takes the place of the vehicle's MOT date, so its reminders follow it. Road tax isn't looked up yet, so the road tax date is only ever the one you put in.
