Planner Notes
How to add, edit, move, and delete planner notes so reminders stay attached to the right dates.
Planner notes are for reminders that belong to a date or a short date range rather than to one job or one customer. They are useful for things like staff absences, access issues, weather warnings, holiday periods, or route instructions that affect a whole day.
Adding a Note
- Add Note button: In summary view, use the note button on the day card to open the note popup for that date.
- Content: Write the actual instruction or reminder here. This is the part the team will read on the planner, so keep it practical and specific.
- Date Range: Start Date decides when the note first appears and End Date decides when it stops appearing. Use the same date in both fields for a one-day note.
- Mark as important: Turn this on when the note should stand out visually. It is worth using for changes that could affect the route or cause mistakes if missed.
Editing and Deleting
- Edit: Click an existing note to reopen it and change the wording, dates, or importance flag.
- Delete: The delete action permanently removes the note. Once it is gone, the planner reloads the affected dates so the note disappears everywhere it was shown.
How Date-Range Notes Behave
- One-day note: Shows only on one date.
- Date-range note: Shows across every date between the start and end dates, so one note can cover a whole run of days without being retyped.
- No blank dates: Planner notes require both start and end dates. They are not designed to float around the planner without a date range.
Moving Notes
Planner notes can be dragged to another date. Single-day notes simply move. Date-range notes behave differently depending on which part of the range you drag. If you drag the start, you are moving the start date. If you drag the end, you are moving the end date. If you drag a note from the middle of its range, Work Planner creates a new one-day note at the drop point instead of stretching the existing range through the middle.
