Version History Popup

How Work Planner keeps earlier versions of a document template’s design, and how to look at one and restore it.

Work Planner Team10 October 2026

Every time a template’s design is saved, Work Planner keeps a copy of it, so you can always go back. Open Version history from the three-dot menu in the drag and drop editor, the Simple editor or the HTML editor. Text messages don’t keep versions.

When a Version Is Kept

  • Each Save & quit: The design you saved becomes a version, with who saved it and when.
  • Each Restore System version: The System design the template was put back to becomes a version too.
  • The design before the first save: The first time either happens, the design the template had until then is kept as well, so the original is never lost.
  • How many: The last 50 versions are kept for each template, along with the design from before the first save. Older ones are removed as new ones are kept.
  • Drafts: Work in progress that hasn’t been saved isn’t a version.

Looking Through the Versions

The versions are listed on the right, newest first, and the chosen one is previewed on the left. On a phone the preview sits above the list. Each version shows:

  • When: Today with the time, or the date and time.
  • What it was: Saved by and a name, As it was before the first save, or System version, restored by and a name.
  • Which editor: Drag and drop, Simple editor or HTML, as a design can move between editors.

The preview fills the design in with your latest record of that kind, or with example details if you don’t have one yet. Half and quarter page templates have One copy and Whole sheet to see the printed sheet.

Restoring a Version

  • Restore this version: Puts the chosen version into the editor as a draft, in place of any work in progress. Nothing printed changes until you use Save & quit, and then the restored design is kept as a new version too.
  • A version from another editor: Opens in that editor, for example an older drag and drop design of a template that is now HTML. As with any move, the template only changes editor once you save it there.
  • Changing your mind: Discard unsaved changes in the editor’s menu throws the restored draft away.
